Event Office Assistant (Venue Based)

Duration: This is a temporary position from 2 July 2026 to 4 September 2026.

During off-peak periods, you will work a minimum of 24 hours on a rota basis between 10:00-17:00 daily Monday to Saturday. During peak periods, you will work 38.25 hours, also on a rota basis, between 10:00-00:30 daily Monday to Saturday.

During your employment there will be two key peak periods, Castle Concerts running from 10 - 19 July (includes 1 Sunday), and The Tattoo 5 - 29 August.

Job Purpose Summary: Based at the venue at Edinburgh Castle, you will play a pivotal role in supporting our event and accreditation staff. The role involves managing and accurately recording the distribution and return of venue and event equipment, lost property, prohibited items and accreditation passes. You will also be responsible for collating data from the various venue teams and feedback to your line manager.

Key Duties & Responsibilities:

  • Assist with the printing of additional accreditation passes including performer, staff and vehicle passes.
  • Conduct accreditation checks of staff and contractors.
  • Complete lost accreditation pass statements and submit to Event Team.
  • Distribute and recover event equipment from staff.
  • Maintain a register of all equipment distributed, identifying any missing equipment on a nightly basis for follow up – including radios and accessories.
  • Ensure that all equipment is accounted for at the end of the event, and flag to your line manager any missing equipment.
  • Manage stock control of event items, ensuring that adequate stock levels are always maintained.
  • Manage incoming lost property and prohibited items in accordance with procedural requirements.
  • Support individuals who are required to complete incident reports.
  • Collate timesheet data on behalf of Supervisors.
  • Follow security and safety procedures.
  • Liaise and work alongside the Accreditation Assistant.
  • Maintain a clean and tidy accreditation unit.

Essential Criteria: 

  • Proficient in all Microsoft packages.
  • Good administration skills.
  • Good attention to detail and ability to accurately record information.
  • Excellent communication skills – both written and verbal literacy.
  • Approachable and helpful, with a positive attitude.

Desirable Criteria:

  • Previous experience of working in events in accreditation or similar roles.
